Cognito Forms pricing explained, plan by plan

Cognito Forms has a free Individual plan and four paid plans: Pro, Team, Business and Enterprise. Every figure on this page was read from Cognito Forms' own pricing page on 2026-10-10, in US dollars, with both the Annual and the Monthly toggle checked. On that date the same page also carried a second, shorter price table with no Business plan (Team at $39 a month on annual billing, Enterprise at $129), which looks like a pricing test; Pro was $19 annual or $24 monthly in both, so check the price your account shows before you buy.

The first thing to know is that the free plan is not crippled: it allows payments on forms. What changes from plan to plan is how many entries you receive each month, how many users share the account, and which advanced features you get, such as electronic signatures, workflows, folder permissions and single sign-on.

What Cognito Forms does well

Payments on the free plan

The Individual plan is listed with payments available, so a small business can take money through a form without paying for the tool. For a shop, a deposit form or a registration with a fee, that is a real reason to stay on Cognito Forms.

Signatures, workflow and approvals

Pro adds electronic signatures and save and resume, and Team adds workflow and approvals plus data lookups. A form that has to be signed, routed to a manager and approved is a different job from collecting answers.

Cheap extra users

Each paid plan includes a number of users and lets you add more for $5 per user per month. On Pro that makes a two-person account cost $5 a month more, which is far below the jump to Team.

Compliance and access controls

Enterprise lists HIPAA compliance and single sign-on, and Business and up list folder permissions. A pay-once form builder does not replace those if a compliance review is involved.

Entries and users decide your plan

The pricing page counts entries per month, and that number is the main wall. Individual allows 100, Pro 2,000, Team 10,000 and Business 25,000, while Enterprise is listed as unlimited. If you run an event registration or a busy contact form, 100 entries disappears quickly, and Pro is the first step up.

Users are the second wall. Pro includes 1, Team 5, Business 10 and Enterprise 20, and every paid plan lets you add users for $5 per user per month. The free plan cannot add users at all. Business and Enterprise also come with guests, people outside your organization who collaborate with you: 5 on Business and 20 on Enterprise, with larger guest tiers priced on the page, from $25 a month for up to 50 guests.

Monthly or yearly billing

The page has an Annual and a Monthly toggle. Pro is $24 a month billed monthly or $19 a month billed annually, which is $288 against $228 over twelve months. Team is $62 or $49, Business is $129 or $99, and Enterprise is $199 or $149.

The FAQ says you can change plan at any time, even on an annual plan. Upgrades take effect immediately with the price difference prorated, and on an annual plan a downgrade can be scheduled for your next renewal. It also says extra usage during an annual term, such as guests, storage or API usage, is covered through a usage wallet. I did not find the wallet's rates on the page, so I do not quote any.

What a plan costs over one, two and three years

Pro on yearly billing is $228 after a year, $456 after two and $684 after three. On monthly billing it is $288, $576 and $864. Team on yearly billing is $588, $1,176 and $1,764, and Business on yearly billing is $1,188, $2,376 and $3,564. These assume the prices stay what they are today, which the vendor can change.

Add users on top: one extra person on Pro is $5 a month, so $60 a year. A small team of three on Pro would pay $228 plus $120, which is $348 a year on yearly billing, assuming the add-on price is the same on both billing periods. The page does not say otherwise, but I could not confirm it.

Who should stay on Cognito Forms, and who can look elsewhere

Stay if your forms take payments, collect signatures, route through approvals, or need HIPAA compliance or single sign-on. Those are the features the subscription actually sells, and the free plan already covers payments at low volume.

If you only collect answers, such as surveys, sign-up forms and feedback, and you are on Pro mostly to get past 100 entries or to remove the branding, the pay-once route is worth a look. MangoForm costs $25 once and sets no cap on forms or responses. It does not take payments, and it has no file uploads, so any form that needs either should stay where it is.
