A ProofHub alternative with a one-time payment
ProofHub sells flat pricing: no per-user fee, unlimited users, two plans. Its pricing page lists Essential at $45 a month on yearly billing ($50 monthly) with 40 projects and 15 GB of storage, and Ultimate Control with unlimited projects, 100 GB, custom roles and an API. There is no free plan, only a free trial.
This page is for people who pay ProofHub mainly for task boards, lists, dates and a table view, and who wonder whether a $540 yearly bill is the right price for that. GuavaTeam is a kanban board that costs $20 once. Below you'll find ProofHub's prices with their source, the math over several years, what GuavaTeam actually does, and a plain list of what ProofHub does better. For a lot of ProofHub customers, that last list is the reason to stay.
GuavaTeam is a good fit if
- You use ProofHub for boards, lists, cards, due dates and checklists, and you rarely open its other modules
- You are a freelancer or a small group and the Essential bill of $45 or more a month is hard to justify
- You want a table view, a timeline, swimlanes, WIP limits and card dependencies on a kanban board
- You invite clients or helpers to a board and want them to edit it without buying anything
- You'd rather pay $20 once than add another monthly subscription
Stay on ProofHub if
- You depend on ProofHub's file proofing, where people annotate images and PDFs and approve versions
- You plan projects on a Gantt chart with a critical path, baselines and constraints
- You track billable time with timers and timesheets, or need chat and discussions inside the tool
- You need custom access roles, white labeling, IP restrictions or an API

The math over 1, 3 and 5 years
Essential at $45 a month on yearly billing is the cheapest ProofHub plan and covers boards, lists, cards, dates and a table view, which is what GuavaTeam does. It is a flat price, so it does not grow with the number of users, and we do not multiply it by a head count. Ultimate Control costs far more and is only needed for roles, white labeling, an API and reports.

Where ProofHub is better
Gantt charts with a critical path
ProofHub's Gantt page describes task dependencies, a highlighted critical path, constraints, baselines and free slack, and tasks can be dragged to update dependent dates. GuavaTeam has a timeline view with start and due dates, and a card can be marked as blocked by other cards, but it has no critical path, baselines or constraints. If you plan a project as a schedule, ProofHub does that and we do not.
File proofing and approvals
ProofHub's proofing page covers annotating images and PDFs, comparing file versions, approving creative assets and inviting outside reviewers who don't log in. GuavaTeam lets you upload files up to 10 MB to a card, and that is all. Agencies that send designs back and forth for sign-off should stay where they are.
Time tracking, timesheets and chat
ProofHub lists time tracking with timers, estimates, timesheets and CSV export, plus real-time chat, discussions and notes in the same account. GuavaTeam tracks no hours and has no chat. A team that bills by the hour or runs its conversations in the tool gets real value from the $45.
Roles, white labeling, API and bigger storage
Ultimate Control adds custom roles, white labeling, IP restrictions, advanced activity logs, project and resource reports and API access, with 100 GB of storage. GuavaTeam has none of these and no mobile apps. Companies that need to control who sees what, or want to put their own brand on the workspace, are outside what we do.
What ProofHub costs over time
ProofHub's pricing page shows Essential at $45 a month when billed annually, which is $540 a year. Over three years that is $1,620 and over five years $2,700. On monthly billing the plan is $50, or $600 a year. Because the price is flat, a team of three pays the same as a team of thirty, and we won't pretend otherwise: for a larger group that really uses all of ProofHub, the per-person cost is low.
GuavaTeam is $20 once. Against Essential on yearly billing that is less than the first month. The people you invite to a board join and edit it for free, so there is no seat to count either, and only creating your own boards or a team needs a purchase. The honest comparison is therefore not price per person but what you get for the money.
Ultimate Control is a different purchase. The pricing page advertises $89 a month on yearly billing, but that price covers only the first three months, and the page's own FAQ says $135 a month on yearly billing ($150 monthly) after that. That is $1,620 a year. It buys custom roles, white labeling and an API, none of which GuavaTeam offers. GuavaTeam is also in the F*ckSubscription bundle, $49 regular for every app, which only matters if you'd use the others too.
What you get with GuavaTeam
You create boards from a dashboard, then fill them with lists and cards that you add, rename, reorder, archive or delete. Drag and drop moves lists and cards, and other people on the same board see changes live. A card opens into a dialog with a title, a description, colored labels you define per board, assigned members, a start date, a due date, checklists with progress counts, file uploads up to 10 MB, and comments with @mentions.
Beyond the plain board there is a Table view where you sort cards and filter them by list, a Calendar view that shows cards and checklist items on their due dates, and a Timeline view that groups cards by list on a day or week scale, where board editors drag a card to change its dates. Custom fields (text, number, date, dropdown or checkbox) show on cards and in the CSV export with no quota. A filter by label, member and due date works across the board, table, calendar and timeline views.
Each list can have a WIP limit, and its header turns red when the count goes over. Board view can group cards into swimlanes by assignee, label or a dropdown field. A card can be marked as blocked by other cards on the same board, with a Blocked badge. Simple automations run when a card moves into a list or a checklist is complete, and one can create a card from a template every day, week or month. A private calendar feed shows your due dates in Google Calendar, Apple Calendar or Outlook, and per-board webhooks send card events to your own URL, signed and retried.
Where ProofHub is the right answer
ProofHub markets itself as an all-in-one tool, and its pricing page compares the $89 offer to separate subscriptions for task management, chat, file storage and time tracking. If you use several of those parts, the flat price is a reasonable deal and splitting them across cheaper tools would cost you effort. A kanban board does not replace chat, timesheets or proofing.
The case for GuavaTeam is narrow. You pay for ProofHub's board and table views, the team opens little else, and the monthly line on the card statement is the thing you notice. If a board with dates, checklists, custom fields, swimlanes and WIP limits covers your week, $20 once is a fair trade and you keep the money.
A quick test: list what you opened in ProofHub last month. Each of Gantt, proofing, timesheets, chat, roles and the API is something GuavaTeam lacks today. If that list is short, try the board on a real project. If it is long, the honest answer is to stay.
Moving over
GuavaTeam imports a Trello board from its JSON export, and it has no import for ProofHub. The practical route is to recreate your lists and paste cards in, one project at a time. Keep ProofHub running until the new board feels right. Our refund policy covers 14 days, which gives you time to try it on real work before the decision is final.
FAQ
Does ProofHub have a free plan?
No. Its pricing page offers a free trial and then two paid plans: Essential at $45 a month on yearly billing and Ultimate Control, advertised at $89 for the first three months and $135 after. GuavaTeam is a one-time $20 payment.
Is ProofHub really cheaper per person for big groups?
Often yes, because it charges a flat price with unlimited users. A group of thirty on Essential pays $45 a month in total. GuavaTeam is cheaper for anyone who only needs boards, since $20 once is less than a single month, but it does not offer ProofHub's extra modules.
Can GuavaTeam replace ProofHub's Gantt chart or proofing?
No. GuavaTeam has a timeline view and card dependencies with a Blocked badge, but no Gantt chart, critical path or file proofing. If you rely on those, stay on ProofHub.
What does 'lifetime' mean here?
It means for as long as we run the app. If we ever shut an app down, you get 30 days' notice and an export of your data. There is also a 14-day full refund. Prices on this page come from ProofHub's own pricing page, checked on 2026-10-23.
Can I be charged again if I forget to cancel?
No. GuavaTeam is one payment of $20, not a subscription, so there is no renewal date. The people you invite join and edit that board for free. If GuavaTeam doesn't fit, there is a 14-day full refund.
Pay once. Keep it.
GuavaTeam is $20 one time. The bundle is $49 one time and includes GuavaTeam and our other live apps, with future updates.
